Time is the foundation of MSP billing — every Ticket worked, Task completed, and Project hour delivered needs to be captured cleanly. ZestMSP gives you two views of the same underlying data: Timesheet for your own week, and Time Entries for the full company log. This article covers logging time from each entry point and reviewing it before invoicing.
Timesheet vs. Time Entries — which is which
| Timesheet | Time Entries | |
|---|---|---|
| View | Weekly calendar grid | Cross-cutting table |
| Scope | One Member at a time | All Members |
| Use case | Logging my own hours | Reviewing the whole team's time |
| Sort/filter | By week | By date, Member, Company, Work type, Ticket/Task |
| Export | — | CSV export |
Both views show the same entries — log time from either place and it appears in both. You'll mostly live in Timesheet day to day. Managers and accounting use Time Entries to prep invoices.
Log time from a Ticket, Task, or Project
The fastest way to log time is from the work itself:
- Open the Ticket, Task, or Project you're working on.
- Click the Time entries tab in the Activity area.
- Click to add a new entry.
- Set the Work type (e.g., Remote Support, Administrative), Duration, and a Description.
- Save.
The entry is linked back to the work item (Ticket TX-, Task T-, or Project P-) and shows up in your Timesheet and the team Time Entries log.
Log time from Timesheet
For time that isn't tied to a specific Ticket — or when you want to bulk-enter a week's worth at once:
- Go to Timesheet in the left nav.
- The default view is My timesheet for the current week (Sun–Sat). Use the date arrows or Return Today to navigate.
- Click + Add time entry to create an entry.
- Pick the Ticket or Task, set the Work type, duration, and description.
- Save.
The entry drops into the calendar grid at the time you set, in 20-minute increments.
Tip: Set your default Work type to whatever you spend the most time on. Remote Support is the default for most techs; managers often use Administrative. This saves a click per entry across the week.
View someone else's Timesheet
The My timesheet dropdown at the top of the Timesheet page lets you switch to another Member's view. Use this for:
- One-on-ones — pull up a tech's week to talk through workload.
- PTO approval — confirm planned days off match what's logged.
- Coverage checks — spot gaps in the on-call rotation.
The dropdown is permission-aware; you'll only see Members you're allowed to view.
Review and prep for billing
Before generating invoices, accounting typically scans Time Entries to confirm the data is clean.
- Go to Time Entries in the left nav.
- Use Quick Filter to narrow by date range, Member, Company, or Work type.
- Sort by Start date or Company to spot anomalies (missing descriptions, durations that look off, entries on the wrong customer).
- Export to CSV if you need to share with someone outside ZestMSP or run extra analysis.
Columns: Member, Work type, Company, Start date, Duration, Ticket/Task number, Description.
Worktypes and billability
Each time entry has a Work type — Remote Support, On-Site Support, Administrative, Project Labor, and so on. Worktypes serve two purposes:
- Reporting — see how time splits across activity categories.
- Billing — on each customer's Contract, you specify which Worktypes are billable and at what hourly rate. Time logged against a billable Worktype accumulates for hourly invoicing (or draws from Block Hours when enabled). Time logged against a Worktype that isn't specified on the Contract is covered by the customer's recurring Services — still captured for reporting, but it doesn't generate a separate charge.
See Build Contract Types and customer Contracts for the Worktype-to-rate mapping on a Contract.
Tips for clean time data
- Log time as you go. A 2-minute entry written at the moment is more accurate than a half-hour block reconstructed at 6 PM.
- Always write a useful Description. "Completed" or a single word won't help future-you remember what you did when you're reconciling an invoice three weeks later.
- Pick the right Work type for each entry, not the same one for everything. The reporting payoff comes from accurate categorization.
- Review the whole team's Time Entries weekly, not just before billing. Mistakes are cheaper to fix the day they're made.
